Wifaq Launches New Visitor Registration System

Cham Solutions & Programs, a leading software company in Qatar and the GCC region, has successfully implemented the Wifaq project, a web-based software system for visitor registration. The system has been installed at the Family Consulting Center (Wifaq), a private Qatari institution of public interest supervised by the Qatar Foundation for Social Work.

The Wifaq project aimed to provide a hassle-free and efficient experience for all visitors, while also contributing to building and strengthening marriage and family ties, counseling, and reducing the negative effects of family disintegration. The project required the implementation of a self-registration station that has a touch screen and a barcode scanner. Cham Solutions & Programs designed and developed a total of 8 self-registration stations that were installed at the 4 entrances of the center.

The system was designed to register all visitors of the center, irrespective of their cultural background, religion, language, or age group, whether they were citizens or residents of Qatar. The first-time visitors were required to provide their information during the registration process. On subsequent visits, visitors could scan their ID card, avoiding the need to re-enter their information.

The system asked the visitor to choose the department they were visiting and the employee they wished to meet. They were also asked to choose the type of visit, such as consultation, business meeting, parental visit, or personal visit. The system notified the employee by means of an electronic email and/or SMS message.

The receptionist had the option to hold the visitor ID card as custody and issue a visitor card (from the system) to the visitor. Once the visit was over, the receptionist returned the ID card to the visitor in exchange for the visitor card.

The visited employee could update the visitor data from their computer. If any information needed to be altered or updated, the visited employee could do the necessary from their computer. The management of each department could see a useful dashboard of the visitors and visits, and generate reports to find out about the efficiency of each employee in their department.

The system was web-based, which meant all employees and management could access the system from anywhere. The system was also bilingual, working in both Arabic and English languages.

During the development of the system, the center requested additional features, one of which was the registration of parental visits. This feature added more benefits for the management, employees, and visitors.

The implementation of the system in the Family Consulting Center (Wifaq) was a successful story and one of the major achievements of Cham Solutions & Programs. The system provided a hassle-free and efficient experience for all visitors, while also contributing to the center's mission of building and strengthening marriage and family ties, counseling, and reducing the negative effects of family disintegration.
